Automated Vacation Messages
Set a vacation message on the voicemail system
- Enter your voicemail box normally by dialing x5050
- If calling from off campus
- Dial (315) 229-5050
- Push #
- Enter your mailbox number (same as your extension)
- Enter your password
- If calling from off campus
- Press 7 - setup options
- Press 4 - greetings
- Press 7 - edit alternate greeting
- Follow the directions to record your alternate greeting, remember to press 1 for yes or 2 for no. Also, when finished recording your message, press 1 to accept it
- The new greeting will temporarily replace your regular outgoing greeting (it will not erase it from the system)
To check your messages while away:
- Enter your voicemail box normally via x5050
- If calling from off campus
- Dial (315) 229-5050
- Dial 9 plus your etension (e.g. 95770)
- Enter your password
- If calling from off campus
- The system will then check and play your messages normally
When you return from vacation (deleting the vacation greeting):
- Enter your voicemail box normally via x5050
- If calling from off campus
- Dial (315) 229-5050
- Dial 9 plus your etension (e.g. 95770)
- Enter your password
- If calling from off campus
- Press 7 - setup options
- Press 4 - greetings
- Press 5 - to switch back to your standard greeting
- The system will play your standard greeting and give you the option to change it. Remember, 1 for yes and 2 for no.
Set automatic vacation reply for e-mail
- Go to MyMail.
- Enter your network username and password.
- Click the Vacation button along the top of the page.
- Pick the start and end date of your absense. Note, this is optional, if you want your vacation set immediately, you don't have to select any dates.
- Enter the subject of your automatic reply in "Subject of vacation message"
- Enter the body of your automatic reply in "Reason"
- Advanced settings (under the advanced settings tab):
- Leave the "My email addresses" as is. This is prepopulated with all of your email addresses and aliases. These email addresses need to be here or the vacation message will not work.
- In the Addresses to not send responses to: box enter any addresses you do not
want a vacation message sent to. For example, friends or colleagues who know you will be away. - Click the Do not send responses to bulk or list messages box to not send auto-reply messages
to large mailings. - Enter the number of days to wait before sending an auto response to an address that has already received one.
- Hit the Save and Enable button or Save if you only want to save the changes and not enable the automatic reply.
- You can also enable the vacation message right from the "Filter Rules" page by clicking "disabled - click to enabled"
- When you return from vacation
- Return to this screen
- Click the check mark under the enabled column beside the Vacation link.
- A red X should now appear under the Enabled column that applies to the Vacation filter rule.
- Remember to test your vacation message by sending yourself a message!
